How Niche Design saves 5–6 hours a week with Claude-powered workflows

A South African design studio uses Claude to reduce supplier administration and create marketing content more consistently alongside client work.

The client

Niche Design is an interior, exterior and landscape design studio based in Irene, South Africa. The business delivers design projects while also managing the suppliers, administration, finances and marketing needed to keep the studio running.

For a small business, those demands compete for the same hours. Supplier paperwork needs careful attention, while marketing needs consistency to help the studio stay visible and attract new work.

The challenge

Niche Design received invoices from different suppliers in different formats. Finding the relevant information, organising it and checking the figures took time each week.

Marketing created a different pressure. The studio had completed projects, property listings, products and design expertise to share, but researching ideas, writing content and preparing visuals all had to fit around client deadlines.

The challenge was not a lack of ideas. It was finding enough time to manage recurring administration and keep marketing moving without taking time away from client work.

The solution

Let’s Learn AI began by working directly with Niche Design to understand how the business operates, where time was being spent and which recurring workflows were creating the greatest administrative pressure.

After mapping the business processes and potential AI opportunities, supplier administration and marketing were identified as the first practical areas where Claude could add value.

Let’s Learn AI then onboarded Niche Design onto Claude Teams and built Claude Projects around these workflows.

Supplier administration

For supplier administration, Claude helps the team extract relevant information from invoices received from different vendors and organise it into a consistent structure.

This reduces the time spent manually working through documents and capturing information. Claude can also highlight missing or unclear details for review, while Niche Design checks the figures before the information is used.

Marketing and content

For marketing, Niche Design uses Claude to research content ideas and develop drafts for social media, its website and other marketing communication.

The studio also uses Claude Design to help create marketing visuals and adapt existing project, property listing and product images for different content requirements.

This helps turn the work Niche Design is already doing into marketing content more consistently, without requiring the team to start every piece of content from scratch.

Let’s Learn AI trained the team to use and improve the workflows and developed an AI Policy to establish clear guidelines around responsible use, data handling and human review.

The results

The workflows are now live inside Niche Design's own Claude Teams environment and are being used as part of the studio's ongoing supplier administration and marketing processes.

Five to six hours saved every week

Niche Design estimates that Claude saves the business around five to six hours each week across supplier administration and marketing.

For a small business, this creates meaningful additional capacity that can be directed back towards client work and running the studio.

Less time spent on supplier administration

Supplier invoice information can be organised into a consistent format more quickly, reducing the manual work involved in processing information received from different vendors.

The team remains responsible for checking the figures and deciding how the information is used.

More consistent marketing

Project material, business expertise and ideas can be turned into content drafts and marketing visuals more efficiently.

This makes it easier for Niche Design to keep its marketing active even when the team is focused on delivering client projects.

“In a small business, client work comes first, but the supplier admin and marketing still have to get done. We now use Claude to help organise invoice information and to research and draft content for Niche Design. It saves us around five to six hours a week and makes it easier to keep our marketing moving. We still check the figures and approve everything we publish. We plan to keep using Claude and build on these workflows.”Annemarie Steenkamp, Co-Owner, Niche Design

Adoption in the business

The initial Claude Projects have been deployed inside Niche Design's own Claude Teams environment and incorporated into the studio's supplier administration and marketing workflows.

The team continues to use these workflows and plans to build on them as further opportunities are identified.

Let’s Learn AI continues to support Niche Design as the business expands how it uses Claude and identifies additional processes where AI can reduce repetitive work or help the team operate more efficiently.

Responsible AI with human oversight

Claude assists with organising information, research, drafting and content creation, while Niche Design remains responsible for the final decisions.

Supplier figures are checked before being used, and marketing copy and visuals are reviewed and approved before publication.

An AI Policy developed as part of the implementation provides the business with practical guidelines for responsible AI use, including how information should be handled and where human review is required.

Practical AI built around the business

The objective was not to introduce AI for the sake of it.

Let’s Learn AI first worked to understand how Niche Design operates, then identified the recurring workflows where Claude could make a practical difference. Those opportunities were turned into working Claude Projects, supported by training, governance and ongoing adoption support.

The result is a live Claude Teams implementation that helps Niche Design recover an estimated five to six hours every week while keeping its people in control of financial information and creative output.
